Privacy Policy

Effective

The short version

  • We collect what you tell us, the details you enter when you book a call, and basic site analytics
  • We use it to answer you, hold your call, deliver our services, and keep the site running
  • We don’t sell your personal information or share it for targeted advertising
  • Mobile numbers and texting consent are never shared with third parties for their marketing
  • You can ask to see, correct, or delete your information at any time

This summary helps you read the page. The full text below controls.

1. Who We Are

High Level Admins is a trade name of JayBen LLC (“High Level Admins,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, and share personal information through highleveladmins.com (the “Site”), our booking calendar, our email, calls, and text messages, and our services.

When we work inside a client’s HighLevel account, we handle the personal information in that account for the client and on its instructions, under our Data Processing Addendum. The client’s own privacy policy governs that information, so contact the client with questions about it.

2. Information We Collect

Information you give us

  • Contact details, such as your name, email address, phone number, and business name
  • What you tell us about your business, your HighLevel account, and the help you need
  • Messages, call notes, and recordings and transcripts of calls we hold with you
  • Billing details for clients, such as billing contacts and payment records. Our payment processors handle card and bank numbers, and we don’t store them.
  • Your consent choices, such as whether you agreed to receive text messages

Information collected automatically

  • Visit data from our hosting provider’s analytics: pages viewed, the site that referred you, device and browser type, approximate location from your IP address, and interactions such as clicks
  • Technical data our booking calendar collects to run and secure the scheduler
  • Cookies and similar technologies, listed in our Cookie Policy

Information from others

  • People and partners who refer you to us
  • Public sources, such as your business website and professional profiles
  • Service providers that help us run the Site and our business

3. How We Use Information

  • Answer your questions, schedule and hold calls, and send appointment reminders
  • Scope, price, deliver, and support our services
  • Bill clients and keep business and tax records
  • Send news and offers about our services, with an unsubscribe link in every marketing email; marketing texts go only to people who agreed to receive them
  • Measure and improve the Site, our content, and our marketing
  • Protect the Site, our clients, and our business from fraud, abuse, and security threats
  • Comply with the law and enforce our agreements

We use AI tools to help with this work, such as drafting replies and summarizing calls, only through business accounts whose providers don’t train their models on our inputs. A person reviews every AI output we use. No automated system makes decisions about you that have legal or similarly significant effects.

4. Text Messages

If you give us your mobile number and agree to receive texts, we send messages about your appointment and your inquiry, and clients receive messages about their services. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. Our SMS Terms have the details.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all sharing described in this policy and will not be shared with any third parties.

5. How We Share Information

We don’t sell personal information, and we don’t share it for cross-context behavioral advertising. We disclose it only in these cases:

  • To service providers that run parts of our business for us, under terms that limit their use of it (see Service Providers)
  • To Team Members who need it to deliver our services, all of whom sign nondisclosure agreements
  • To professional advisors, such as lawyers and accountants, who owe us confidentiality
  • When the law requires it, or to protect rights, safety, and security
  • To a buyer or successor if our business is sold, merged, or reorganized, with this policy’s protections intact
  • With your consent or at your direction

7. Do Not Track and Third-Party Tracking

Some browsers send a Do Not Track signal. No common standard exists for it, so the Site doesn’t respond to it. We honor Global Privacy Control as described in Your Choices and Rights.

When you open our Book a Call page, the booking calendar loads scripts from HighLevel and Meta, and our Certified Admin badge loads from HighLevel. These companies receive your IP address, browser details, and the page address, and they can connect that to your activity on other sites under their own privacy policies. Our Cookie Policy lists each one.

8. Where Information Is Accessed

We serve businesses in the United States. Team Members and some service providers access personal information from outside the United States, never from a country the US government lists as a country of concern for data security. The protections in this policy and our confidentiality and security commitments apply wherever it’s accessed.

9. How Long We Keep Information

We keep personal information only as long as we need it for the purposes in this policy or as the law requires.

Information
Contacts and conversations in our CRM, and call recordings and transcripts in our CRM and meeting recording tools
How long we keep it
24 months after your last activity with us. Our CRM then purges deleted records within 2 months.
Information
Records of consent and opt-outs
How long we keep it
5 years after your last activity, as proof of the choices you made
Information
Client contracts, invoices, and payment records
How long we keep it
7 years after the engagement ends, for tax and legal purposes
Information
Copies of client data we hold outside client accounts, such as exports
How long we keep it
Deleted within 30 days after the engagement ends, as our Data Processing Addendum describes
Information
Website visit data
How long we keep it
Kept by our host as aggregate traffic reports

We keep information longer when the law requires it or a legal claim needs it, and we mark those records with a legal hold.

10. How We Protect Information

Every Team Member signs a nondisclosure agreement and works under their own login with only the access their work needs. Logins live in a password manager, never in chat or email, and we use multi-factor authentication wherever the platform supports it. We remove access when someone leaves an account.

No method of storing or sending data is perfectly secure. If a breach affects your personal information, we notify you as the law requires.

11. Your Choices and Rights

Wherever you live in the United States, you can ask us to:

  • Tell you what personal information we have about you and how we use it
  • Give you a copy of it
  • Correct it
  • Delete it
  • Stop sending you marketing emails or texts

Email hello@highleveladmins.com with “Privacy Request” in the subject line. We verify your identity by matching details we already hold, and we respond within 45 days or tell you if we need up to 45 more. An authorized agent can make a request for you with your signed permission. If we deny a request, reply to our decision to appeal, and we answer the appeal within 45 days. Using these rights never changes how we treat you.

Unsubscribe from marketing email with the link in any message, and reply STOP to any text to stop texts. We treat a Global Privacy Control signal from your browser as a request to opt out of the sale or sharing of your personal information. We don’t sell or share it, and we’ll keep honoring the signal.

We keep some information after a deletion request, such as records the law requires and the consent records that prove your choices.

12. Children

The Site and our services are for businesses and adults. We don’t knowingly collect personal information from anyone under 18. If you believe a child has given us information, email us and we’ll delete it.

13. Changes to This Policy

We update this policy when our practices change and post the new version here with a new effective date. If a change materially affects how we use information we already hold, we email clients before it takes effect.
