How Do I Merge Duplicate Contacts in GoHighLevel?

Short answer

Select 2 to 10 duplicates in Contacts, then Smart Lists, click More, then Merge, pick the master contact, and click Merge Contacts. To find duplicates first, admins can use Manage Duplicates in the Contacts ⋮ menu. Merges are permanent.

Checked against HighLevel’s help center on . HighLevel updates its interface often, so match the labels you see on screen.

Merge contacts you already found

  1. 1Go to Contacts, then Smart Lists and search by name, email, phone, business name, or tag
  2. 2Select the duplicate contacts, up to 10
  3. 3Click More, then Merge
  4. 4Choose the contact that stays as the Master record
  5. 5Review the fields with different values and pick the ones to keep
  6. 6Click Merge Contacts. A merge can’t be undone.

Find duplicates with Manage Duplicates

Admins open Contacts, click the ⋮ menu, and choose Manage Duplicates. Pick Email, Phone, or Name under Find By, then click Find Duplicates and expand a group to review it. If a group isn’t a real duplicate, click Reject, and HighLevel leaves that value out of future scans for good.

What the master contact keeps

DataAfter the merge
Name, main email, and main phoneThe master contact’s values, unless you pick others during review
Custom fieldsFilled from other contacts only where the master’s field is blank
Appointments, payments, orders, and invoicesThe master contact’s values
Notes, tasks, opportunities, tags, and conversationsCombined into the master contact
Courses, community groups, and productsCombined from all selected contacts
Active workflowsMoved to the master contact. If it’s already in the same workflow, the extra run ends.

Stop new duplicates

  • Turn off Allow Duplicate Contacts in the Contact Deduplication Preferences panel under Settings, then Business Profile, then pick Email or Phone as the main match field
  • That setting covers forms, Zapier, Facebook, and Instagram. CSV imports always match on email or phone.
  • The Merge Contact workflow action merges duplicates during a workflow, matching by email, phone, or both, and keeps the older contact
